The Customer
The Customer Serving heavy-hitter brands from Coors Brewing and General Motors to All-state and Procter & Gamble, event production and marketing company, ALW Ground Zero, is the go to source for producing creative, memorable and innovative events. Proctor & Gamble’s “My Black is Beautiful Tour” (MBIB) is certainly no exception. Launched in May 2008, this multi-city tour is wrapping up its second year of inspiring, interactive events all aimed to reinforce pride and stimulate a national conversation about African American women in popular culture. Thousands of women from all over the country flocked to these highly popular events to spend the day connecting, conversing and cultivating greater self-esteem, self-confidence and a new standard of beauty. With each event drawing over three thousand women in a single day, all seeking to take part in free consultations, seminars, fashion shows and a wide array of free spa and beauty services, ALW Ground Zero project manager, Michael Bailey, had his work cut out for him.

“With hundreds, sometimes thousands of women lining up before we even open the doors, registration needed to move quickly while still gathering the requisite data required by the event sponsor, P&G.” comments Bailey. “We needed a solution that was fast, reliable and simple to use. Advanced Kiosks provided us with just that solution.”

The Project
To streamline the check-in process, the MBIB event team connected with Advanced Kiosks and acquired 8 FreeStanding kiosks all outfitted with wheels, labels printers and Total Key Software to collect registration data for each attendee as well as a barcoding
system to track their movements from booth
to booth in the event itself. But even this was not enough to handle the 500+ registrations per hour required at the MBIB events.

“Automating the check-in process with kiosks certainly speeds registration and cuts down on staffing expenses, but not enough to handle full event registration for the massive influx of attendees expected at these events,” explains Advanced Kiosk President, Howard Horn. “We needed to take additional steps to keep traffic flowing and attendee satisfaction high while still gathering enough data for the event sponsors to gauge attendee satisfaction and measure the effectiveness of their marketing efforts.”

With that in mind, the Advanced Kiosks team implemented Total Key’s online, preregistration module that enabled attendees to pre-register for the event, cutting onsite check-in time dramatically. Once pre-registered, all attendees would need to do is enter their cell phone number at one of the self-serve, check-in kiosks to print their personalized name badge. Each badge is imprinted with a unique barcode that can be scanned at each booth to track an attendee’s movements throughout the event. But speeding onsite check-in and event data collection weren’t the only advantage delivered by Advanced Kiosks.

“Not only was on-site check-in time cut significantly, we were able to provide event management vital information about their event BEFORE it started,” adds Horn.

By instituting a pre-registration process, event management was able to track the number of event registrants for each city, communicate with pre-registered customers prior to the event and collect data to evaluate the effectiveness of their marketing efforts. This additional information made preparation for each event easier and more cost effective as well helping to increase attendance and providing valuable insight into which event marketing vehicles were working best.

The Results
The My Black is Beautiful Tour was an overwhelming success. Pre-registration coupled with customized, pre-event emails to registrants had each event exceeding capacity. The total number of registrants

topped twenty thousand and over twelve thousand people attended the tour. This information helps to break down walls and start conversations.
